Travel and Events Coordinator
California Nurses Association (CNA) / National Nurses United (NNU) seeks an experienced Travel and Events Coordinator.
CNA/NNU is the nation's largest union and professional association of direct care registered nurses, with more than 225,000 members in all 50 states.
This position is for immediate hire and will be located in the organization’s HQ in Oakland, CA. The ideal candidate will manage all aspects of travel and event planning in collaboration with other coordinators.
Key Responsibilities
- Travel Coordination
- Provide logistical support for group and individual travel for all events and meetings and short and long-term housing.
- Maintain online booking tools, travel profiles, and contracts with corporate partners for negotiated discounts on all air, car, and hotel reservations.
- Provide analysis of monthly travel.
- Event Planning & Logistics
- Implement tracking systems that enable and anticipate long-term planning and effective management for meetings, events, and actions.
- Manage the administration and logistics of numerous in-person and virtual events including meeting space, accommodations, registration, ground transportation, and other event-related services.
- Collaborate with the event team and other departments on planning and execution.
- Manage event timelines, project deliverables, and post-event analysis.
- Conduct research, arrange site visits, and find resources to help staff make decisions about larger event possibilities.
- Build and monitor registrations and event websites.
- Manage on-site event logistics, including vendor coordination, setup, and breakdown.
- Reconcile event folios and monthly statements with vendor reports.
- Vendor & Contract Management
- Build and maintain relationships with key individuals in the hospitality industry to secure discounts and promotions for the organization.
- Research, secure, and manage contracts for event spaces, room blocks, catering, rentals, and other event vendors.
- Review incoming contracts for cost-effectiveness and compliance with the organization’s objectives and internal policies.
- Administrative Responsibilities
- Monitor and respond to shared email inboxes in a timely manner.
- Occasional travel and some evening and weekend work are required.

- Technical
- Advanced Excel skills and the ability to utilize formulas and perform complex searches.
- Experience with Cvent, Zoom, and Microsoft Office applications.
- Preferred
- Interest in social activism, labor unions, and health care issues, preferred.
Experience
- Minimum of 3 years of travel and events coordination experience with a nonprofit organization
- Experience coordinating in-person and virtual events ranging from 10 to 5,000 participants.
- Extensive experience booking hotel accommodation, air travel, and ground transportation for groups of all sizes.
- Proven ability to plan and manage events from start to finish.
- Track record of negotiating contracts with hotels nationwide.
- Experience with statement and reporting reconciliation
Compensation
We offer a competitive annual salary in the range of $100,000 - $105,000 dependent on skills and experience. Generous benefit package including comprehensive family health and dental plan, retirement contributions, and professional development opportunities.
