Operations Clerk/Receptionist
About the Role
California Nurses Association/National Nurses United is seeking an experienced Operations Clerk/Receptionist to join our onsite team in Oakland, California. The Operations Clerk/Receptionist will support daily operations and front desk responsibilities at our Oakland HQ.
Key Responsibilities
- 80% Operation Floater
- Office Facilitation
- Maintaining administration of UPS shipping account.
- Sorting and distributing internal/external mail.
- Monitoring meeting room calendar and coordinating room set-up, per instructions. Provide support in the set-up and breakdown of meetings.
- Maintaining and organizing basic office supplies. Ordering and re-stocking office supplies, as needed.
- Assisting with all aspects of vendor deliveries.
- Assisting with office moves, including archiving and file organization.
- Reproduction
- Running large printing projects on a variety of copiers, including high volume booklet printing on an industrial copier.
- Operation of mailing machinery, including postage meter, folding, and stuffing machines, etc.
- Materials Request
- Responding to and coordinating interdepartmental materials and inventory requests.
- Inventory
- Maintaining and updating the inventory database.
- Office Facilitation
- 15% Receptionist Backup
- Greet, welcome, direct and announce visitors appropriately. Answer, screen, and forward any incoming phone calls while providing basic information when needed.
- Retrieve messages from voicemail accounts, as assigned.
- Respond to, sort, and forward emails from Info mailbox to assigned accounts.
- Receive and sort daily mail/deliveries/couriers
- Maintain security by following and enforcing office protocols and monitoring office access.
- All planned times off would be coordinated to ensure coverage.
- 5% Collective Bargaining Secretary Backup
- Provide daily administrative support to Labor Representatives in the field including printing, scanning, calendaring etc.
- Order catering for meetings and events.
- Follow processes for purchasing supplies and ordering materials in inventory.
- Assist with special projects as assigned.

- Ability to keep records and maintain a high level of accuracy and attention to detail.
- Ability to be flexible and perform multiple tasks concurrently.
- Ability to pick up new systems quickly.
- Strong knowledge of shipping and receiving practices.
- Strong interpersonal skills and willingness to work as part of a team.
Experience
- 3-5 years of experience in an office environment required. Prior experience providing operational support, office administration or receptionist duties preferred.
- High proficiency in MS applications (Word, Excel, Outlook, etc.).
- Prior data entry experience required.
- Working knowledge of mailing machinery and standard office equipment.
- Experience with UPS/FedEx online software is desirable.
Physical Demands
- Must be able to stand and walk for extended periods throughout the day.
- Frequent bending, lifting, and moving of materials (up to 50 lbs.).
Compensation & Benefits
We offer a competitive salary in the range of $70,000-$75,000 depending on experience, along with comprehensive benefits including medical, dental, vision, retirement contributions, and professional development opportunities.
